The Challenge
Lead Solutions Inc. faced a massive operational bottleneck in handling and processing a large influx of sales leads daily. The marketing team relied heavily on manual processing, which required personnel to assess, categorize, and route each lead to the appropriate sales team member. This process was not only slow, often taking up to 48 hours to process high-priority leads, but also prone to human error, with misrouted communications spread across several disconnected platforms. These issues led to significant revenue loss, as high-value leads would sometimes fall through the cracks or receive delayed responses, diminishing conversion opportunities. Despite efforts to streamline operations using traditional SaaS CRM tools, the limitations in configuration and automation capabilities meant that they could not keep up with the scalability demanded by their market growth. The dependency on manual processes and disparate systems created coordination delays and reduced their ability to adapt swiftly to market demands.

The Solution
We implemented a robust automation solution using a tech stack that included n8n for workflow orchestration, FastAPI for rapid API development, and OpenAI to enhance data processing with intelligent prompt-based logic. The lead data is ingested through API endpoints that pull real-time information from varied sources such as web forms, marketing platforms, and CRM inputs. Using n8n, we designed a series of automation nodes that evaluate lead data and utilize custom OpenAI LLM schemas to categorize and prioritize leads based on predefined criteria, ensuring accurate and efficient sorting. Furthermore, a human-in-the-loop system was established via Slack, where any leads that fell outside the predefined confidence threshold were flagged for manual verification by the sales team. With this system, we synchronized data back into the CRM, creating a seamless two-way sync that guarantees no lead is ever lost in the process, drastically reducing manual triage and enhancing lead response times.
